Maintenance Governance Framework

A move toward more proactive maintenance through planned work orders, review cadence, contractor coordination and traceable preventive-maintenance governance.

Context

Maintenance activity needed stronger structure so that preventive work, contractor activity and follow-up could be planned and traced rather than relying on reactive attention.

Challenge

Maintenance competes with production for time and attention. Without a visible system, scheduled tasks can slip, contractor work can become disconnected from asset history, and recurring issues can remain hidden inside day-to-day firefighting.

My role

I supported maintenance policy and scheduling, created and followed preventive-maintenance work orders, coordinated external contractors and established regular follow-up around due work and completion.

Governance

The control model centred on planned tasks, clear frequencies, work-order evidence, ownership and a weekly review cadence. The purpose was to make exceptions visible and keep preventive work from disappearing behind urgent production demands.

Stakeholders

Maintenance, operations, management and external service providers needed a shared view of what was due, what had been completed and what required further action.

Risks

Key risks included missed preventive work, unplanned downtime, poor service traceability, duplicated effort and maintenance knowledge remaining with individuals rather than the system.

Actions

I organised preventive tasks, followed work orders, coordinated contractors, reviewed intervals and improved the visibility of scheduled maintenance activity.

Outcome

Maintenance moved toward a more proactive and traceable operating model with clearer follow-up and contractor coordination.

Lessons

Maintenance governance is less about producing schedules than about ensuring the schedule drives action, evidence and decisions. A maintenance plan only adds value when completion and exceptions are visible.
